Vendor insurance request email templates
3 min read · Last updated
Short, specific emails get documents back faster than long requests. Below are three templates for a first request, a 14-day reminder and an expired notice, plus tips for using them. VendorVault sends these reminders automatically, so use the templates for personal follow-up on top of the automated reminders. General information, not legal or insurance advice; check your contracts and your insurer.
1. Initial request
Send this when a vendor is first engaged, before any work begins. Replace every bracketed item with your details.
Subject: Insurance documents needed before [Project or Site Name] work starts Hello [Vendor Contact Name], [Your Company Name] is preparing to engage [Vendor Company] for [Project or Site Name], starting [Start Date]. Before work begins, please provide current copies of the documents below. Upload them through your private link: [Private Upload Link] Required: - General liability insurance, minimum [Amount] per occurrence - [Other required coverage and minimum] - [Other license or certificate, if required] Please name [Your Company Name] as the certificate holder. If you have questions, reply to this email or call [Phone Number]. Thank you, [Your Name] [Your Title], [Your Company Name]
2. Reminder at 14 days
Send this when a document expires in about 14 days and nothing new has arrived.
Subject: Reminder: [Document Name] expires on [Expiry Date] Hello [Vendor Contact Name], Our records show that your [Document Name] for [Vendor Company] expires on [Expiry Date], about 14 days from now. Please upload the renewed document before that date so your work at [Project or Site Name] is not interrupted: [Private Upload Link] If the renewal is already in progress, reply with the expected date and we will update our records. Thank you, [Your Name] [Your Company Name]
3. Expired notice
Send this on the expiry date, or the next business day, when the document has lapsed. Follow your contract for any consequence it states.
Subject: Action needed: [Document Name] has expired Hello [Vendor Contact Name], Our records show that your [Document Name] for [Vendor Company] expired on [Expiry Date]. We have not yet received a renewed copy. Please upload it by [Deadline Date]: [Private Upload Link] Under our agreement, [consequence stated in your contract, for example: work or payment is paused until a valid document is received]. If you believe this is a mistake, reply with the current policy number and we will check it. Regards, [Your Name] [Your Title], [Your Company Name]
Tips for sending
A few habits make these emails easier to answer and easier to prove later.
- Use the vendor contact on record and the exact coverage names from your requirement list.
- Keep the subject line specific so the email is easy to find later.
- Send one email per document, or list every item in one email. Do not mix old and new requests in one message.
- Put the private upload link in the first screen of the email, not at the bottom.
- Log each email in the vendor's record with its date.
- Search the draft for square brackets before sending, so no placeholder reaches the vendor.
Automated reminders
VendorVault sends reminders automatically 30, 14 and 7 days before each expiry date and on the expiry date, and when a required document is missing. Use these templates for personal follow-up, not as a replacement for the automated reminders or for your record.
Questions
Should I send these templates as attachments?
No. Put the text in the body of the email, so the vendor can read it on any device without opening a file.
Can I change the wording?
Yes. Keep the same facts: the document, the date, the upload link and the action required.
Do vendors need an account to upload?
No. In VendorVault, the private upload link takes the vendor straight to the upload step.
